Job Summary: At SWS, we're looking for an Accounts Payable Clerk who brings more to the table than number-crunching. We want someone who takes ownership, solves problems, and understands that even the smallest details can make a BIG difference.
This isn't just about paying bills. It's about keeping promises, building trust, and helping our business move forward.
And the best part? This is a part-time opportunity with a minimum of 20 hours per week where your contribution truly matters.
Your Mission: Keep the Numbers Right and the Relationships Strong.
You're the behind-the-scenes force that keeps our accounts payable running smoothly.
From processing invoices and reconciling statements, building and maintaining strong relationships with vendors, to managing payments and solving discrepancies, your accuracy keeps things moving. Your communication builds confidence. Your reliability strengthens relationships with suppliers and teammates alike.
At SWS, our core values of Collaboration, Accountability, and Growth aren't just words on a wall. They're how we work, and we're looking for someone who lives them.
We're Looking for Someone Who Is:
- Detail-Obsessed: You catch the little things before they become big problems. Accuracy is your superpower.
- Accountable: You own your work, meet your deadlines, and follow through. No chasing required.
- A Natural Problem-Solver: When numbers don't add up, you dig deeper, ask questions, and find answers.
- People-First: You understand that accounts payable isn't just about transactions. It's about relationships, respect, and communication.
- Organized & Efficient: You know how to prioritize, manage your time, and keep things moving, even with a part-time schedule.
- Trustworthy & Discreet: Confidentiality isn't optional. You handle sensitive information with care and professionalism.
- Respectful but Assertive: You treat everyone with professionalism and respect, but you're not afraid to speak up, ask tough questions, or push back when something doesn't seem right. You know how to stand your ground, hold your self and others accountable, and navigate difficult conversations without compromising relationships.
- Growth-Minded: You're open to feedback, eager to learn, and always looking for smarter ways to get things done.
What We Are NOT Looking For:
- Not Just a Data Entry Operator: If your idea of accounts payable is entering numbers without questioning what doesn't make sense, this isn't the role for you. We value curiosity, accuracy, and critical thinking.
- Not a "That's Not My Problem" Attitude: We work as a team. When something needs attention, we communicate, collaborate, and help find a solution.
- Not Someone Who Needs Constant Follow-Up: We believe in ownership. If you say you'll do something, we trust you'll get it done.
- Not Someone Who Lets Things Slide: Missing invoices, payment discrepancies, and unanswered supplier questions don't magically resolve themselves. We need someone who follows through.
- Not Someone Who Avoids Difficult Conversations: We need someone who can confidently question discrepancies, challenge decisions when necessary, and hold both teammates and suppliers accountable while maintaining positive, professional relationships.
- Not Resistant to Change: There's always room to improve. If you believe there's only one way to do things, we probably won't be the right fit.
What You'll Actually Do:
- Own the Details: Review, verify, and process invoices with precision. Match purchase orders, receipts, and invoices, making sure everything adds up.
- Keep Payments Moving: Prepare and process supplier payments accurately, on time, and in line with company procedures.
- Keep Expenses Accountable: Review team members' expense reports, match transactions and receipts against monthly company credit card statements, and follow up on missing receipts or discrepancies. Ensure expenses are accurate, properly documented, and accounted for.
- Be a Financial Detective: Investigate discrepancies, reconcile supplier statements, and resolve payment questions before they become bigger issues.
- Build Strong Relationships: Communicate with suppliers and internal teams with professionalism, respect, and a people-first mindset.
- Keep Everything Organized: Maintain accurate financial records, payment documentation, and ERP transactions so information is reliable and easy to access.
- Support the Bigger Picture: Assist with month-end activities, credit card reconciliations, expense processing, financial reporting, and audit preparation.
- Protect What Matters: Handle confidential information responsibly while following financial policies, approval processes, and applicable tax requirements.
- Make Good Processes Better: Spot inefficiencies, challenge outdated practices constructively, and bring forward ideas that make our work simpler, smarter, and more accurate.
- Own It: Take responsibility for your work, communicate when you need support, and consistently strive for excellence.
What You Bring to the Table:
- 1–2 years of experience in accounts payable, bookkeeping, or a related role.
- Post-secondary education in Accounting, Business Administration, or a related field or equivalent practical experience.
- A solid understanding of invoices, payments, reconciliations, and basic accounting principles.
- Confidence using Microsoft Office, particularly Excel, and familiarity with ERP systems.
- Strong numerical accuracy, organization, and the ability to manage deadlines independently.
- Clear, respectful communication and a team-first approach.
- Familiarity with Canadian HST/GST requirements is an asset.
Most importantly? You bring the right attitude. Skills matter, but so do curiosity, accountability, and a genuine desire to contribute.
Part-Time Hours. Full-Scale Impact.
Who says making a difference requires a 40-hour workweek?
We're looking for someone who can bring focus, experience, and reliability to a part-time role of at least 20 hours per week.
Whether you're an experienced accounting professional looking for a different schedule or someone who thrives in a focused, hands-on role, this could be the opportunity you've been looking for.
Ask Yourself This:
- Do you get genuine satisfaction when everything balances perfectly?
- Are you the person who catches the mistake everyone else overlooked?
- Do you take pride in being someone others can count on?
- Can you work independently while still being an awesome teammate?
- Do you believe that doing things right matters just as much as getting them done?
If you're nodding along and thinking, "HELL YES!" - WE WANT TO HEAR FROM YOU.
